Why overdue receivables follow-up keeps getting postponed, and who should do it

Which customer is late, who was reminded when, who made a promise? This follow-up is needed every day, yet it rarely runs regularly before the team grows. How can a digital employee take it on?

Following up on overdue receivables is a job that must be done every day and is postponed every day. The reason is not neglect; it is the shape of the work. Every customer needs a separate look: which one is late, who was reminded when, who made a promise, was it kept?

Three parts of the job

  • Reading: finding the overdue items among the open entries in Logo and building the current picture for each customer.
  • Writing: preparing a reminder in the right tone, taking the amount and date from the Logo record.
  • Following up: sorting the reply. A payment promise, a dispute, a question, or “paid”? Checking the promise on the promised day.

Each is a small task, but it repeats every day for every customer. Before the collections team grows, this follow-up does not run regularly; once it grows, tracking who is chasing which customer becomes a job of its own.

How a digital employee takes this on

In iyibir Workforce this job goes to the Collections Specialist. It is hired from the store, and its scope, tone and working hours are set. Each working day at the start of hours the agent reads Logo, finds the overdue receivables, opens a follow-up file for each customer and prepares a reminder draft in the chosen tone.

  • It sorts the reply: payment promise, dispute, question, “paid”.
  • It puts the payment promise on the calendar and checks it in Logo on the promised day.
  • It does not resolve a dispute or an unclear case itself; it hands it to you.

The decision is yours

To begin with, every outgoing action goes out with your approval. The draft waits in the panel with its reasoning and rule checks; you approve, edit or reject it. The agent works and comes to you where a decision or approval is needed.
